Bluefin Resources is assisting a major Federal Government Department in sourcing an APS 6 Executive/Governance Officer. The position sits in the Office of the FAS, working to the FAS and EL2 Executive Officer and with the Executives Assistants and across the Division to support the Executives and the Division in delivering its priorities and activities. The position covers a dynamic and diverse array of exciting tasks, as well as the long-term opportunity to improve processes and systems.

The non-ongoing opportunity will cover a 6-9-month timeframe, with the possibility of extending or creating a permanent position.

**KEY RESPONSIBILITIES**:

- Work across the Division to manage and coordinate information and input requests and provide the Divisions response back to appropriate levels and areas. Key activities include: funding and budgets; human resource functions; corporate planning and reporting; governance; and, property and accommodation
- Prepare for Senate Estimates, Question of Notice, Question Time Briefs, Back Pocket Briefs
- Manage the distribution of ministerial correspondence and parliamentary documents using the Parliamentary Document Management System (PDMS) to the relevant areas and liaise with various stakeholders for ensuring the timely submission of the documents to the Minister's Office
- Manage and coordinate communications across the Division including drafting the Divisional Newsletter
- Manage and maintain records for the Divisional Coordination.

You will also provide high level support and advice to the Executive Officer and FAS to:

- Assist with high priority and sensitive issues and coordinate briefings and other materials for the EO and FAS
- Support capability development in the Division through workforce development and strategies on recruitment, retention and training; shape the development of initiatives to promote the wellbeing of staff and, with a focus on the culture of the Division;
- Develop the ongoing implementation of the Division's strategy and planning
- Work on key projects as directed to provide research, analysis and advice on corporate issues relating to the operation of the Division
- Attend regular meetings to discuss current issues and projects, information requests, strategies to coordinate timely responses requests across the Division and advocate for the Division and its needs in various corporate spaces
- Identify efficiencies and innovative solutions across the work of the team and conduct lessons learned on key pieces of work.

**ESSENTIAL REQUIREMENTS**:

- Understanding the Department's governance processes (for example, business planning, budgeting, performance reporting, senate estimates)
- Being a natural collaborator, effective working with people, developing and maintaining relationships with a broad range of internal and external stakeholders to influence them to achieve agreed outcomes
- Providing high-level support to senior management and the timely coordination of key cross-organisational processes
- Working in a fast paced and dynamic environment with excellent co-ordination and organisational skills (good time management and an ability to manage multiple tasks and competing priorities)
- Working independently and taking initiative to manage own workflows and raise issues with team leaders with the ability to think constructively, research and investigate issues and work with others to find solutions and add value
- Demonstrating a written and verbal communication style that is clear, concise and is readily understood by the intended audience; the ability to communicate in writing and verbally with a wide range of people
