This position reports to the Director of Performing Arts.

**Overview of the role**

The Administration Assistant will work collaboratively with the Director of Performing Arts and a dynamic team to maintain the day-to-day running of the Performing Arts faculty. This role is responsible for providing a broad range of high-quality administrative support in order to meet the needs of the School. Each day is varied and very busy, requiring the ability to prioritise responsibilities and manage a range of different and often competing activities and stakeholders in order to ensure the needs of our students and their families are met.

This position will be one of the main contacts for incoming parent queries and will be responsible for engaging positively and professionally with parents and students, plus other staff by providing relevant information and advice in a timely manner in order to ensure the smooth running of the faculty. Professionalism, positivity and a calm attitude under pressure must be maintained as well as the ability to ensure high levels of discretion and capability in all circumstances.

This busy role requires excellent organisational and interpersonal skills, attention to detail, and the ability to liaise with a broad range of the School's community members.

**Key priorities**

Indications that this job is being done successfully would include:

- Act as the liaison point between students, the Director of Performing Arts, Peripatetic staff, suppliers and other staff members.
- Perform a range of administrative tasks and functions that assist in the coordination of daily routines as appropriate and as requested/directed by the Director of Performing Arts.
- In consultation with internal stakeholders, collate, analyse, record and distribute the payroll, expense and student attendance data to the Business Office.
- Undertake and assist with event & production administration. This will include, but not be excluded to, coordinating performing arts enrolments, generating correspondence, booking equipment and venues, etc.
- Foster strong, ongoing positive relationships with all students, parents and staff.
- Provide administrative assistance (including relief for Reception) across the School to meet functional requirements.
- Update and maintain Performing Arts information on the School's internal portal and the website.
- Provide support to the Director of Performing Arts, as requested including calendar management.
- Administer and support the Director of Performing Arts coordination of critical incidents (evacuations, lockdown, etc.)
- Willingness to develop an understanding of the operational aspects of administration within the School.

**Education and Experience**
- Qualifications in Business Administration or similar.
- Minimum of 5 years' administration experience, preferably in an educational setting.
- Intermediate to advanced MS Office skills, including ability to produce complex documents (mail merge, table of contents), PowerPoint (embed video's), and Excel (pivot tables, formula's).
- Experienced with a data management system (Synergetic or similar), customer relationship system and portal/web front end maintenance.
- Current NSW Working with Children Check and COVID Vaccination Certificate.

**General conditions of the role**
- **Award & Classification**: Independent Schools NSW (Support and Operational Staff) Multi Enterprise Agreement 2021. Clerical and Administrative Staff, Level 3
- **Hours of work**: Permanent, full-time Monday to Friday. Daily hours will generally be 10.00am - 6.00pm (including 30 mins unpaid lunch break)
- **Reporting Line**: All positions report to the Principal.
- **The line manager for this position is**: Director of Performing Arts.
- **Professional Learning**: You will be expected to attend and contribute to all staff professional development days and requirements as outlined in the School's calendar.
- **School Holidays**: Annual leave should only be taken during the student holiday period.
