**About the Role**

The role of the Administration Assistant is to provide administrative support to Clinicians, and Counsellors and assisting the clinic coordinator with administrative tasks in the Department. This is an ongoing 3 day a week position
- Days required Tuesday, Wednesday and Friday (9-5pm)

**Key Result Areas**:

- Perform data entry into internal database (FAMBIS) as well as hospital databases (iPM/SMR)
- Perform general administration tasks including appointment coordination, letter generation and mail out, sort incoming mail/faxes, liaise with clinical staff and provide administrative support, as required
- Perform general reception tasks including phone triage, and appointment data processing

**Responsibilities**:

- Perform general administrative tasks including incoming mail/fax triage, outgoing mail sorting, maintaining standard forms, filing, photocopying, and ordering stationery
- Process incoming referrals via the eReferral system
- Receive incoming telephone calls to primarily triage calls and take messages, or assist when appropriate
- Provide administration support to the clinical staff, as required,
- Provide coverage, including during period of leave, for other administrative staff, as required
- Mailing of correspondence.
- Perform various tasks required for clinic preparation including patient registration and loading appointments in iPM
- Liaise with patients, referring services, and other healthcare professionals/services to obtain relevant information for clinic preparation, such as patient details, results, reports, and correspondence.
- Data entry and utilisation of various databases and Microsoft Suite programs including but not limited to:

- FAMBIS: database specific to Cancer Genetic Services. FAMBIS is a Microsoft Access based database.
- iPM: Hospital patient information management system used by the Monash Health Network.
- SMR: Scanned Medical Records system of Monash Health including eReferral system
- Microsoft Office Suite: Access, Word, Excel, Outlook etc.
