Admin Assistant/service Scheduler

Our client, a large Lighting Automation Company is seeking a highly motivated and organised Service Scheduler to join their dynamic team in Sydney Office.

**Responsibilities**:

- Coordinate and schedule service, commissioning and maintenance appointments in order to efficiently allocate our resources.
- Communicate effectively with clients to understand their specific needs and schedule appointments accordingly.
- Collaborate closely with internal teams, including project managers, technicians, to ensure the timely completion of projects, service and maintenance tasks.
- Respond promptly to client inquiries and resolve any issues or complaints with a high level of professionalism and customer satisfaction.
- Processing of Service Job Invoices.
- Processing of credit card receipts.
- Identify and communicate new service and maintenance opportunities to the sales and marketing teams.
- Maintain accurate and up-to-date records of service and maintenance activities.
- Monitor parts inventory and place orders as necessary to support service operations.
- Generate regular reports on service and maintenance activities, providing insights on productivity and profitability and recommendations for process improvements.
- Ad hoc duties to assist in the smooth running of the Service function and the organisation as a whole.

**Requirements**:

- Proven experience in a similar role, preferably within the contracting industry.
- Strong understanding of automated lighting control systems and technologies.
- Experience with CRM software, ideally SimPro.
- Excellent communication and interpersonal skills, with the ability to build strong client relationships.
- Exceptional organisational and time-management abilities, with a keen eye for detail.
- Demonstrated ability to prioritise and multitask effectively in a fast-paced environment.
- Proficiency in using Microsoft Office 365.
- Willingness to learn and adapt in a fast-paced environment.
