The Haynes Group are recruiting a Receptionist/ Marketing Administrator to join the team, based at our Archerfield - Head Office

**Role Specific Deliverables**

**Reception**
- Greet all visitors in a friendly and professional manner on arrival, ensuring they check in and out to maintain a record of who is in the building at all times
- Ensure all visitors undertake site safety induction and are fully briefed on safety requirements immediately on arrival, this includes reverse parking reminders and the requirement to always walk on designated walkways
- Ensure reception area meeting rooms are tidy and orderly after each meeting
- remove rubbish, drinking glasses/jugs, and any other items left behind.
- Ensure meeting rooms are set up correctly wish to see with minimum delay
- Answer and direct calls both internally and externally, promptly and courteously at all times
- Redirect deliveries to the correct recipient in a timely manner.
- Ensure all messages left for personnel are passed on immediately
- Provide tea/coffee/water for meeting attendees as required
- Arrange taxis and transfers for visitors on request
- Ensure the reception area and telephones are kept monitored as much as possible and replacement coverage is available for lunchtime and extended leave periods
- Provide excellent customer service to internal and external customers
- Ensure the safety of visitors at all times, especially during a fire drill/alarm ensuring all visitors are accounted for and have moved to the safe area in line with safety procedures.
- Responsible for overseeing the automatic stationery ordering and being the main contact person for the vendor
- Raise Purchase Requisition and receipt invoices.

**Marketing Communications**
- Assist with planning, ordering and distributing adhoc Marketing Communications materials including product posters, annual calendar orders, pocket diaries and Christmas cards.
- Assist with adhoc internal marketing requests and orders, including but not limited to, merchandise.
