They will have a warm, friendly, and polite manner with excellent communication skills, both written and verbal, showing attention to detail. The Office Administrator plays a key part in ensuring the smooth running of our centre and developing a high-quality service for families and educators.
Our Centre is a 138 place Early Learning Centre and Kindergarten with growing occupancy. We are situated in leafy-tree lined streets and enjoy beautiful play spaces for children.
They will:
- Have a friendly, can-do attitude, with a strong focus on productivity, initiative and a proactive approach to ensure the office and centre runs smoothly.
- Show enthusiasm and motivation towards learning new systems and be innovative in their thinking.
- Report progress, work towards goals and actions and deliver on time.
- Have exceptional planning and organisation skills ensuring tasks, reports and compliance checks are always scheduled and completed.
- Enjoy building relationships with families and children
- Have professional presentation for a front-of-house role, have an eye for details and cleanliness
**SPECIFIC RESPONSIBILITIES**
- Support the team by assisting with scheduling and ordering materials and food.
- Respond in a positive and caring way to families’ enquiries and their needs, advancing complex inquiries to the Centre Manager
- Act as the first point of contact for billing and administrative enquiries (Kidsoft)
- Assist with maintaining regulatory records
- Redirect queries regarding child development, education, to the child’s teacher and Centre Manager where necessary
- In the event of complaints, delegate to Centre Manager using the complaint procedure as outlined in the parent handbook
- Maintain confidentiality on all issues relating to children and families and comply with the service’s privacy policy.
- Assist with fundraising and organising social events as required
- Manage parents accounts and monitor ongoing payments with follow up as required
- Perform general administrative tasks in an accurate, reliable, and honest manner
- Maintain bookings
- Post and collect mail
- Accept deliveries, including food deliveries and ensure appropriate food health and safety documentation is completed and updated accordingly
- Manage Kidsoft - Training provided
- Assist the compliance officer in ensuring regulatory requirements are met and daily practices and procedures are maintained
- Enrolments - Manage the waitlist and enquiries, organise tours, follow enrolment procedure and assist with marketing
**SELECTION CRITERIA**
- Receptionist/front of house experience/customer service
- Experience in or knowledge of an educational setting, preferred
- Have a warm and friendly manner
- Strong written and verbal communication skills
- Communicate effectively in different communication settings, attentively listen to others, provide timely and helpful information to others
**Job Type**: Part-time
**Salary**: $25.00 - $32.00 per hour
