ABOUT THE COMPANY
THE OPPORTUNITY
The Event Specialist is responsible for the planning, coordination, and execution of high-complexity medical education events, such as symposia, international speaker tours, and other large-scale medical educational offerings. This role requires deep expertise in event management and extensive knowledge of medical education practices. The Event Specialist will lead the event process from inception through completion, ensuring compliance with relevant medical and industry standards.
RESPONSIBILITIES
- Lead the planning and execution of complex, high-visibility events such as international speaker tours, symposia, and other flagship medical education initiatives.
- Oversee event logistics, including but not limited to, venue selection, vendor management, budgeting, and program development.
- Collaborate with internal and external stakeholders, including KOLs (Key Opinion Leaders), speakers, and event sponsors.
- Ensure events adhere to industry regulations, medical codes, and company policies.
- Provide expert consultation to junior team members, offering guidance and support for less complex projects.
- Evaluate event success and provide comprehensive post-event analysis and feedback to stakeholders.
- Manage risks and troubleshoot any issues that may arise during the planning and execution phases.
- Maintain strong relationships with external partners to drive innovation and excellence in event delivery.
**Qualifications**:
Skills & Competencies
- Event Management Expertise: Demonstrated experience in managing large-scale, high-complexity events, particularly in the medical or pharmaceutical fields.
- Leadership & Project Management: Strong leadership skills, able to manage multiple projects, deadlines, and teams efficiently.
- Stakeholder Management: Ability to communicate and collaborate effectively with senior leaders, external partners, and speakers.
- Attention to Detail: High level of attention to detail, ensuring compliance and the flawless execution of events.
- Problem-Solving: Ability to quickly address and resolve issues as they arise during the event lifecycle.
- Technical Proficiency: Proficient in event management software and tools (e.g., Cvent, iConnect) and office suite tools (e.g., Excel, Word, PowerPoint).
- Budgeting & Financial Acumen: Experience managing event budgets, vendor contracts, and financial negotiations.
Experience or qualifications that are critical to this position
- Extensive experience in planning and managing high-complexity, large scale events or exposure to medical education working directly with healthcare professionals to educate whilst navigating industry and ANZ specific regulations.
- Proven experience in leading multidisciplinary teams and overseeing all phases of event management from inception to completion.
- Strong project management skills, with demonstrated experience handling multiple concurrent projects, tight deadlines, and complex logistics.
- Strong understanding of medical industry standards, healthcare codes (e.g. MA and MNZ), and compliance requirements related to medical education events.
