An exciting permanent opportunity is available for a highly experienced professional Executive Assistant to join the People and Culture (P&C) team at the Public Trustee. We are looking for an Executive Assistant to provide a range of executive support and administrative services to facilitate the delivery of business operations, and to support the Executive Director, P&C and Director within the P&C portfolio.

- Providing confidential executive administrative support to the Executive Director P&C and Director/s within the P&C portfolio as needed
- Accurate up-to-date diary management ensuring forward planning of regular meetings, accuracy of itineraries and provision of supporting documents for meetings
- Liaising with Executive Directors, Directors, Managers and staff to coordinate collection and correlation of data/information to ensure timely and accurate responses and submissions to executive correspondence and reporting
- Maintaining and tracking a register of action items on behalf of the Executive Director P&C
- Developing and maintaining office systems to ensure the most effective and efficient practices and controls are in place, including filing and bring-up systems
- Overseeing the maintenance of administrative standards and contribute to the training of other P&C staff in administrative practices
- Coordinating meetings, including calendar and venue bookings, preparing agendas, taking and distributing minutes, and monitoring follow-up actions
- Arranging travel and accommodation as required for the P&C team
We would like to hear from you if you are a dynamic, positive self-starter with proven experience at an Executive Assistant level and have:
- Previous experience in a similar role
- Experience supporting Senior Management
- High level of written and verbal communication skills including use of advanced Microsoft Office programs such as Word, Excel, PowerPoint etc
- Excellent attention to detail, coupled with strong organisational skills
- Are committed to quality, professionalism and confidentiality
