Key duties and responsibilities
- Contributing to a positive and safe work environment by modelling conduct that is culturally capable, inclusive, respectful and ethical.
- Delivering high quality business support services for First Nations Engagement Branch.
- Participating in a high performing team in the delivery of professional, confidential and efficient business support services. This includes contributing to the day to day workflow through the monitoring and distributing of correspondence as well as the coordination of effective client-focused financial, human resource and administrative services for the First Nations Engagement Branch.
- Developing, implementing and maintaining effective administrative systems in the First Nations Engagement Branch that comply with statutory and State Library requirements. Includes the maintenance of various registers, systems relating to financial and human resources, performance reporting and business processes such as correspondence management.
- Providing timely, high quality advice and support to the First Nations Engagement Branch on facilities, financial and human resources, performance reporting and business systems. This includes the preparation of budget forecasts, budget estimates, expenditure reconciliations, analysis of and resolution of discrepancies financial reports, documents, presentations, briefs and other correspondence.
- Provide effective cost centre management through the development, maintenance and review of office financial management systems including processing invoices for payment, monitoring cost centre expenditure, ensuring accountability for monies received and paid.
- Contributing to business improvement activities ensuring relevant policies, procedures and guidelines meet best practice, the First Nations Engagement Branch and State Library requirements. This includes a continuous improvement cycle for feedback, raising concerns and generating solutions
- Ensuring records management is undertaken such as updating relevant databases and tracking systems, as well as filing and retrieving records in line with State Library corporate protocols and procedures and State Government guidelines. This includes managing high level documents while demonstrating and understanding professional and confidential standards
- Maintaining strong working relationships with internal and external clients as well as local networks, industry, government and external organisations.
- Working effectively with colleagues and State Library Officers while contributing to a productive and positive work environment. This includes being a proactive member of the First Nations Engagement Branch and assisting in the coordination and delivery of other business management functions and projects.
