JJ Care Services are a leading boutique provider of essential homecare and disability support services as well as supported living and short term accommodation and residential respite services within our large centre, based in Gymea Bay.

Due to rapid growth, we are urgently seeking a dynamic administrative assistant to join our team and hit the ground running,

Joining a small office team and working closely with the director and management staff, you will be responsible for a large part of our administrative workload, making sure the office runs smoothly, and an ever changing focus to suit the needs of our clients.

We receive up to 20 new requests for services per day as well as manage a busy residential care facility, which requires a constantly changing focus, and there is always something urgent to manage amongst our day-to-day - that's what keeps things fun Working closely with the Director, General Manager and senior coordinators, you will be joining a tight-knit, fun, and social - but serious, group of people who have high standards. Your main duties will include:

- Liaising wth staff and external stakeholders and consumeres
- Asisting with creating and distributing marketing materials, memos, forms, communications etc.
- Maintaining and updating staff and client records with accuracy and confidentiality
- Assisting with scheduling meetings, client visits, bookings and discharges, etc.
- Assisting with preparing and managing documentation including contracts, agreements, fee schedules, quotes etc.
- Data entry and filing
- Ensuring organisation and order both in the office and in our various cloud based systems
- Assisting with rostering our support workers to services, managing intakes, referrals and new clients and ensuring compliance with industrial awards and industry standards.
- Experience and confidence in an office, and fast paced environment
- Strong organisational and time management skills with a keen eye for detail
- Proficiency in Microsoft Office suites and ability to learn new systems quickly
- Excellent communication and interpersonal skills with a professional phone manner
- Ability to manage sensitive and confidential information with discretion
- Effective problem-solving skills
- Ability to follow directions

This role is full time, office based, Monday-Friday. Our business hours are 0830-1730, and we do not offer the ability to work from home, as we are a social office, and administrative support is often needed by our nurses on the floor.
