As an experienced Office Manager, you’ll help foster happy, healthy people in a friendly and supportive studio culture. You’ll have a genuine interest in the work we do and go above and beyond to bring a positive and helpful attitude to the office every day. You know how to run a tight ship and understand the level of professionalism that comes with the role.
**What you’ll be doing**:
You’ll be responsible for keeping the show on the road, running of reception, office and studio needs, successfully managing all travel and expense requests, supporting the Operations and Client + Project Management teams where required and co-ordination of all things social.
You will have strong interpersonal and communication skills and a high attention to detail, you’re mature, confident and flexible when interacting with staff clients and suppliers and all levels.
**Essentials skills and experience**:

- 3+ years’ experience in a similar role - Design Consultancy or Digital agency would be advantageous
- Super organised with the ability to multi-task and work to deadlines
- Excellent written and verbal communication skills (and can demonstrate this with examples)
- Exceptional eye for detail - understanding the small stuff does matter
- Collaborative and keen to contribute to studio culture and organisational development
- Maturity, confidence, and flexibility to interact with clients, suppliers, and internal staff at all levels
- Ability to anticipate studio needs, and identify and mitigate problems
- Hard-working and hands-on
- Professional, fun, friendly and self-starting

**Key responsibilities include**:
**Front of House**

**Facilities**
- Run a tight ship by maintaining the Folk building and overseeing the office:

- Manage/organise office maintenance, trades, repairs inc. equipment eg printer, coffee machine etc
- Order and maintain all office supplies

**Business / Operations Support**
- Assist the Managing Director, Operations team and C&PM team as requested
- Action & monitor / manage Folk inboxes
- Work with Operations Director to follow processes for:

- HR - All Staffing inc FT & Freelancers
- Recruitment, Onboarding & Induction
- Staff Management
- Employee Leave
- Time management
- Finance
- Facilitate ALL credit card & petty cash purchases
- Ensure all office/business related costs are reconciled and submitted in a timely manner
- Organise travel inc. travel for projects
- Co-ordinate Folk social & work related events

**IT Support Liaison**
- Liaise with IT Support for matters relating to technology:

- Servers, internet, phones.
- Tools of trade hardware & software.

**Project Management Support**
- Maintain the contacts database to support eDM and other marketing campaigns..
- Support the Project management team eg:

- Preparing project timelines
- Preparation of meetings and presentations
- Marketing initiatives and admin / Ad hoc requests
