The Role: Project Coordinator

We're seeking a highly organized and detail-oriented Project Coordinator to join our team. As a key member of our project delivery team, you'll work closely with our creative, design, and production teams to ensure seamless project execution and exceed client expectations.

Key Responsibilities:
  • Support project management and delivery of small to large-scale projects for discerning global and local clients.
  • Coordinate and manage project aspects to ensure timely delivery, producer support, and client satisfaction.
  • Maintain strong communication with stakeholders, suppliers, and clients to build positive relationships.
  • Foster client relationships throughout project stages to ensure expectations are exceeded and deliverables are met.
  • Manage project budgets to meet profit targets and financial outcomes.
  • Support creative, design, and production deliverables and timelines to ensure high-quality execution.
  • Contribute to research and development of client proposals, including documentation, budgeting, feasibility, and sourcing.
  • Collaborate with the Director, Creative Director, and Head of Projects and Head of Production as needed.
  • SOURCE, BRIEF, LIAISE WITH AND MANAGE SUPPLIERS TO MAXIMISE VALUE AND OUTCOMES.
  • Contribute ideas and strategies to innovate and evolve project delivery for greater efficiencies and outcomes.
  • Support the project team on a day-to-day basis to ensure deliverables are met.
  • Support multiple projects simultaneously across client management, production management, budget management, and final delivery.
  • Develop and meet project timelines.
  • Develop schedules, briefings, and onsite documentation.
  • Support onsite delivery to ensure high-quality execution.
  • Be available to work all days and nights when an event is on, excluding approved annual leave.
  • Provide administrative support to the Office Manager and team.
  • Contribute to a positive and collaborative team culture.
  • Champion the agency's sustainability code.
Requirements:
  • Sydney-based, able to work from the Surry Hills office 5 days per week.
  • Excellent communication and organisational skills.
