Secretariat and Governance Support Specialist

We have an exciting opportunity for a Secretariat and Governance Support Specialist to join our team. This role is responsible for providing secretariat and governance support to the Board Chair and its members, as well as undertaking commercial/contracts support in the commercial function.

The successful candidate will ensure that meetings are well organised, documented, and conducted in a compliant manner. They will also become a subject matter expert and provide guidance to the Board on governance requirements and obligations to ensure good governance practice.

Key Responsibilities:
  • Establish and coordinate Board and subcommittee meetings, including scheduling, logistics, technology requirements, and catering
  • Prepare and distribute agendas, pre-reading material, reports, and briefs in a timely manner, including liaison with stakeholders
  • Liaise with the Board Chair, Board Members, and stakeholders to gather, review, and finalise Board submissions
  • Attend all meetings and take accurate minutes, circulating them for review, finalisation, and endorsement
  • Maintain an accurate and up-to-date decisions and action items register, working with accountable members to provide status updates
  • Familiarise yourself with governance, contractual requirements, and obligations to provide guidance to the Board and ensure necessary governance and contractual obligations are met
  • Uphold standards of confidentiality, integrity, and professionalism in a complex, multi-stakeholder environment
  • Provide commercial support to the Commercial Manager with tasks as required
About You:
  • Prior experience in providing secretariat and/or executive officer level support to a Board or Executive Governance Body
  • Facilitated Board-level meetings, including developing schedules, setting agendas, and taking minutes
  • Ability to work effectively and collaboratively with Board Members and stakeholders
  • Commercial/contracts experience (desirable but not essential)
  • Ability to use and adapt written and verbal communication skills to suit various audiences
  • Results-driven, pragmatic, and agile in work practices to deliver meaningful outcomes
  • Excellent written communication and documentation skills, including preparation of agendas, minutes, and governance reports and Board papers
  • Ability to balance conflicting priorities to deliver against customer and business requirements, with appropriate stakeholder management
  • Intermediate MS Office skills, especially in Word, Excel, and PowerPoint
  • Prior experience working in a Defence Industry environment (desirable)
  • Eligibility for a Negative Vetting Level 1 Defence security clearance
  • International Traffic in Arms Regulations (ITAR) may be applicable, affecting suitability for this role
