
Administrative Coordinator

We are seeking a highly motivated and organized individual to fill the role of Production Officer. As a key member of our team, you will be responsible for providing administrative support to daily production activities.
This is an excellent opportunity to develop your skills in data entry, quality control, and document management.
You will work closely with our site and shared services teams to ensure seamless execution of production tasks.
Key Responsibilities:- Safety Management: Promote and uphold a culture of safety in accordance with our policies and OHS/WHS legislation.
- Data Entry: Support FeedTrack log entries and corrective action tracking.
- Risk Identification: Identify and report proactive safety hazards and near misses as well as collaborate in managing incidents and RTW.
- Quality Control: Ensure all activities comply with HACCP and Quality Management System (QMS).
- Document Control: Assist in maintaining site accreditation and quality documentation.
- Record Keeping: Support quality audits and record keeping requirements.
- Customer Service: Respond to internal and external customer queries via phone and email.
- Inventory Management: Accurately post finished goods (FG) and work-in-progress (WIP) production entries into D365, including inventory reconciliation and variance investigation.
- Communication: Update daily meeting boards and contribute to internal communications.
- Document Management: Manage document control including SOPs, toolbox talks, and training records.
- Procurement: Raise purchase orders for site consumables, services, casual labour, and coordinate invoice accruals with Maintenance and Finance.
- Financial Management: Monitor and maintain the Admin Inbox and manage freight invoices.
- HR Administration: Record and archive staff files and induction documents.
- Accounting: Complete monthly accruals with the Finance team.
- Audit and Compliance: Conduct internal audits on systems such as LinkSafe , ChemAlert , FeedTrack , and Guardian.
- Project Support: Provide ad hoc support to the Production team on projects and initiatives.
- Additional Responsibilities: Fulfill any additional responsibilities assigned by Management or delegated authority.
- Personal Development: Engage in personal development, relevant training, and site meetings.
- Training and Development: Support refresher training for operator SOPs and document updates.
