Job Title: Operations Coordinator

About the Role

This is an exciting opportunity to join our production team as an operations coordinator. The successful candidate will play a key administrative and coordination role in supporting daily production activities.

Key Responsibilities
  • Promote and uphold a culture of safety in accordance with policies and legislation.
  • Support log entries and corrective action tracking.
  • Identify and report proactive safety hazards and near misses, and collaborate in managing incidents and return-to-work cases.
Safety:

The ideal candidate will have experience in office or administrative environments and a solid understanding of general accounting and administration principles. Strong communication, negotiation, and interpersonal skills are also essential.

  • Support log entries and corrective action tracking.
  • Identify and report proactive safety hazards and near misses, and collaborate in managing incidents and return-to-work cases.
Quality:

The successful candidate will be responsible for ensuring all activities comply with HACCP and Quality Management System (QMS) standards. They will assist in maintaining site accreditation and quality documentation, support quality audits and record-keeping requirements, and ensure accurate posting of finished goods and work-in-progress production entries into D365.

Administration:

The operations coordinator will provide administrative support to the production team, including responding to internal and external customer queries via phone and email, accurately posting finished goods and work-in-progress production entries into D365, updating daily meeting boards, contributing to internal communications, managing document control, raising purchase orders, coordinating invoice accruals, monitoring and maintaining the Admin Inbox, recording and archiving staff files and induction documents, and completing monthly accruals with the Finance team.

  • Respond to internal and external customer queries via phone and email.
  • Accurately post finished goods and work-in-progress production entries into D365.
  • Update daily meeting boards and contribute to internal communications.
General:

The ideal candidate will be able to conduct internal audits on systems such as LinkSafe, ChemAlert, FeedTrack, and Guardian, provide ad-hoc support to the Production team on projects and initiatives, fulfill additional responsibilities assigned by management or delegated authority, engage in personal development and relevant training, and support refresher training for operator SOPs and document updates.

  • High attention to detail and ability to work independently.
  • Knowledge of accounts payable processes and production support functions.
  • Understanding of business and site processes.
