**Job Role Overview:**
We are seeking an experienced and skilled facilities management professional to join our team. As Assistant Facilities Manager, you will play a crucial role in ensuring the smooth operation of our facilities.
Your primary responsibility will be to manage your own portfolio, including a main corporate site and three smaller tenancies. You will also gain exposure to and support the retail portfolio.
You will assist the Senior Facilities Manager in providing daily comprehensive facilities management, including compliance, vendor, and relationship management, as well as delivery of services in accordance with our management agreement and company policies, procedures, and processes.
This position is varied and may require hands-on tasks. You will interface with members from all levels of the organization, as well as the public.
**Key Responsibilities:
- Ensure compliance with regulations and requirements of our contract and all site procedures, including landlord compliance requirements.
- Develop and manage relationships with occupiers and clients to ensure service delivery expectations are exceeded.
- Assist delivery of customer and property services across the portfolio.
- Conduct building inspections and complete associated reports within the governance timeframe for the allocated portfolio.
- Assist with administration and organization of information for analysis and presentation to senior management teams.
- Support duties assigned by the Senior Facilities Manager.
- Contribute to the effective and efficient running of the portfolio, sharing ideas for continuous improvement.
- Manage vendors and coordinate facilities works as required.
- Adhere to our business conduct, ensuring compliance with guidelines, procedures, and strategies.
- Proactively manage and monitor Help Desk/service outputs to achieve or exceed standards against agreed KPIs and service level targets, reporting regularly to key stakeholders.
- Promote an environment that supports teamwork, cooperation, and performance excellence across the portfolio.
- Deliver superior customer service to meet on-site client expectations.
- Build and develop effective client/stakeholder relationships across multiple levels of the organization.
- Serve as the on-site key point of contact for Facilities in our premises and across your portfolio.
- Communicate effectively with good presentation skills and possess strong verbal and written communication skills.
- Show passion for quality, with an eye for detail to ensure the best delivery of services.
- Demonstrate ability to work collaboratively with others to meet targets.
- Show integrity and trustworthiness.
Please note that previous experience in facilities, property management, hospitality, or related fields is preferred. Knowledge of local occupational health and safety requirements and vendor management for specialized services is advantageous.
Familiarity with basic technical aspects of property (computer room air-conditioning, chiller system, fire protection system, mechanical & electrical system, BMS system) is beneficial.
Experience in minor projects, including office relocations, is advantageous.
A strong customer service focus with excellent people skills and ability to interact with a wide range of client staff and demands is essential.
