About the Role
We are seeking a highly skilled and experienced Workplace/Mailroom Coordinator to join our team at JLL. As a key member of our client services team, you will be responsible for delivering exceptional client experiences and providing a range of on-site workplace-related services.
Key Responsibilities
- Proactively build rapport with clients and ensure their needs are met to minimize escalations.
- Support the delivery of internal general services for our staff, including property, facilities, ergonomics, emergency preparedness, event management, desk and parking booking, meeting rooms, AV/VC issues, and general building orientation.
- Ensure adherence to IAG workplace guidelines to create a welcoming, safe, and productive workplace.
- Build strong relationships with all stakeholders, respond to feedback, and assist in the coordination and delivery of day-to-day office premises operations.
- Display flexibility in availability to ensure coverage on all conference center floors and maintain work standards during high-volume workloads.
- Provide guidance to our people on navigating self-service functions for technical support, such as security, safety, and IT issues.
- Ensure meeting room floors are maintained in a pristine and clutter-free state, set up rooms ready for each booking, and liaise with suppliers of catering, AV, etc. to streamline the service offering.
- Utilize stakeholder relationships to identify opportunities to expand service offerings, such as project delivery, trade self-delivery services, and take steps to promptly raise this with the Line Manager for further consideration and potentially client discussions.
- Manage the mailroom and deliver administration and logistics support, enhancing the employee experience of our colleagues through our onsite services and business administration support.
- Drive digital influence within all departments, providing the option of scanning all incoming mail/cheques to a digital mailbox and maximizing the digital distribution of correspondence.
Requirements
- Well-developed interpersonal skills and ability to manage relationships with key stakeholders, including managing expectations.
- Well-developed time management and project management skills, ability to meet deadlines and coordinate others to meet key milestones.
- Experience in hospitality, hotel management, or high-end corporate concierge.
- Prior experience in managing meeting room services is an advantage.
- Proven experience with continuous improvement initiatives and client reporting.
- Must present a professional and friendly corporate image to clients.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Good command of verbal and written English.
