Program Coordinator Role Overview

We are seeking a detail-oriented and proactive Junior Program Coordinator to support the delivery of strategic initiatives across our organisation.

This role is ideal for someone who thrives in a dynamic environment, enjoys solving problems logically, and is comfortable engaging with stakeholders at all levels.

The program coordinator will play a key role in supporting the successful delivery of projects and programs by coordinating meetings, workshops, and stakeholder engagements.

Key Responsibilities
  • Schedule and Coordinate: Schedule and coordinate workshops, meetings, and stakeholder engagements to ensure seamless project delivery.
  • Liaise with Departments: Liaise with internal departments to gather information and maintain alignment throughout the project lifecycle.
  • Draft Communications: Draft clear and professional communications to internal customers to ensure effective project communication.
  • Support Meetings: Support meetings by capturing minutes, tracking actions, sending reminders, and following up to ensure project deliverables are met.
  • Manage Documentation: Manage and maintain program documentation and artefacts to ensure easy access to project information.
  • Administer Tools: Administer key program tools including RAID registers, program roadmaps, and schedules to ensure effective project management.
  • Prioritise Tasks: Assist in prioritising tasks and managing competing demands from multiple sources to ensure project timelines are met.
Risk Management and Issue Resolution
  • Identify Risks: Support the program to identify potential risks and develop mitigation strategies to ensure project success.
  • Address Challenges: Proactively address challenges and resolve issues to ensure project timelines and deliverables are met.
  • Culture of Improvement: Promote a culture of continuous improvement within the team, encouraging feedback and implementing lessons learned to enhance future projects.
  • Dynamic Behaviours: Demonstrate 'open and dynamic' behaviours in line with our organisational culture.

The successful candidate will have excellent communication, leadership, and interpersonal skills, ability to adapt and flex and deal with ambiguity. Familiarity with Jira and Confluence is desirable.
