Administrative Support Specialist for Financial Services

Job Title: Marketing & Office AdministratorThis role sits at the heart of our operations, ensuring seamless office coordination and creating polished professional documents and presentations that make an impact. As a proactive, detail-oriented individual, you will play a crucial role in both operational efficiency and brand presence.
- Prepare and format client presentations, proposals, tender documents, sector reports, and corporate materials to brand guidelines, ensuring accuracy.
- Manage template masters (Word), maintain an inventory of sales materials, and coordinate the creation of new materials as needed.
- Assist with inbound call overflow and provide administrative support, including booking travel and updating internal registers.
- Collaborate with marketing on sales campaigns, update the client management database, and set up campaigns in HubSpot (prior knowledge not essential).
- Complete design tasks using Adobe Creative Suite (InDesign, Photoshop) and create/edit PowerPoint templates per brand guidelines.
- Coordinate state-based events, maintain the team's communications calendar, and assist with sending client releases and internal communications.
To be successful in this role, you must possess:
- A strong attention to detail, including exceptional formatting and design experience.
- Organisation and prioritisation skills are essential.
- Excellent written and verbal communication skills.
- Proficient skills using the Microsoft 365 suite and Adobe Creative Suite (InDesign and Photoshop) or Canva experience is highly desirable.
- You will be a team player – we value collaboration.
- You must possess a can-do attitude; this attribute is indispensable.
