Job Title: Reception QLD

ISS Facility Services is seeking an experienced and detail-oriented Receptionist/Concierge to join our team in a Full Time role. The successful candidate will provide exceptional customer service and administrative support to our clients in the vehicle manufacturing and distribution industry.

Key Responsibilities:
  • Manage incoming and outgoing calls, maintain internal phone listings, and update management contact lists.
  • Monitor and control site access for employees, contractors, service providers, couriers, suppliers, and visitors. Update and maintain staff movements and visitor register.
  • Manage phone systems, voicemail, security, swipe card, and related computer software.
  • Arrange site inductions and update induction records.
  • Manage incoming and outgoing postage and courier requirements for the site.
  • Provide administrative, organizational, and communication support to the site HR Department.
  • Provide backup for certain tasks, including staff shop sales, contractor management, OH&S administration.
  • Assist with relocations, office moves, or refurbishments and take responsibility for ensuring all changes are managed in a professional, timely, and efficient manner.
  • Act as a central point of contact for all departments and management and build professional relationships at all levels of the company.
  • Develop and implement business processes and procedures to improve office services efficiencies.
  • Emergency Team member and meeting coordinator and administrator.
  • Be efficient with the use of company resources and ensure costs are considered against the office services budget.
  • Provide assistance to colleagues and team members during busy periods.
  • Always act legally and within the parameters of accepted business practice.
  • Order generation, fault logging, and invoice processing.
  • Provide training room setup as per the Corporate Training Calendar (average 3-4 days per month) and placement of pre-ordered catering.
  • Managing administration tasks for a mixed portfolio between industrial warehouse dealerships and warehouse.
Requirements:
  • Demonstrated customer service focus with the ability to communicate with internal and external clients at all levels.
  • Excellent verbal and written communication skills to liaise with clients and draft correspondence and documentation.
  • Excellent time management and organizational skills to manage workflow and priorities and meet deadlines.
  • Ability to work under minimum supervision.
  • Good attention to detail and high level of accuracy.
  • Exhibits a strong work ethic – leads by example.
  • Flexible approach to work with the ability to adapt to a changing environment.
  • Intermediate to advanced level in core Microsoft packages – particularly Word, Excel, PowerPoint, Access, and Outlook.
  • Ability to determine resource and material requirements.
  • Knowledge of safety issues relevant to trade and a strong commitment to safe working practices.
  • Able to pass an Australian National Police Check.
Desirable:
  • Minimum 2 years' experience in an operational office environment.
