Job Summary

We are seeking an experienced and detail-oriented Receptionist/Concierge to join our team at ISS Facility Management PTY LTD in a Full Time role. The successful candidate will provide exceptional customer service and administrative support to our clients in the vehicle manufacturing and distribution industry.

Key Responsibilities
  • Customer Service: Provide a welcoming first point of contact for all suppliers, employees, contractors, and visitors to the head office.
  • Administrative Support: Manage incoming and outgoing calls, maintain internal phone listings and management contact lists, and provide administrative, organizational, and communication support to the site HR Department.
  • Site Management: Monitor and control site access for employees, contractors, service providers, couriers, suppliers, and visitors. Update and maintain staff movements and visitor register.
  • Communication: Arrange site inductions, update and maintain induction records, and manage incoming and outgoing postage and courier requirements for site.
  • Team Support: Provide back-up for certain tasks, assist with relocations, office moves or refurbishments, and take responsibility for ensuring all such changes are managed in a professional, timely, and efficient manner.
  • Process Improvement: Develop and implement business processes and procedures to improve office services efficiencies.
Requirements
  • Customer Service Focus: Demonstrated customer service focus with the ability to communicate with internal and external clients at all levels.
  • Communication Skills: Excellent verbal and written communication skills in order to liaise with clients and draft correspondence and documentation.
  • Time Management: Excellent time management and organizational skills with the ability to manage workflow and priorities and meet deadlines.
  • Supervision: Ability to work under minimum supervision.
  • Attention to Detail: Good attention to detail and high level of accuracy.
  • Work Ethic: Exhibits a strong work ethic – leads by example.
  • Flexibility: Flexible approach to work with the ability to adapt to a changing environment.
  • Technical Skills: Intermediate to advanced level in core Microsoft packages – particularly Word, Excel, PowerPoint, Access, and Outlook.
  • Safety Knowledge: Knowledge of safety issues relevant to trade and a strong commitment to safe working practices.
  • Certification: Able to pass an Australian National Police Check.
Desirable Qualifications
  • Experience: Minimum 2 years' experience in an operational office environment.
