Job Title: Organizational Support Specialist

Job Description

We are seeking a highly skilled and detail-oriented Organizational Support Specialist to manage the day-to-day operations of our organization. The ideal candidate will have exceptional organizational skills, be able to multitask, and possess excellent communication skills.

The successful candidate will be responsible for managing program registration and enrolments, including invoicing, reporting, and financial management. They will also provide administrative support for fundraising initiatives, event management, as well as financial and human resource management.

Key Responsibilities:
  • Manage all aspects of program registration and enrolments, including invoicing, reporting, and financial management.
  • Provide administrative support for fundraising initiatives, event management, as well as financial and human resource management.
  • Develop, review, and implement recruitment, selection, induction, and exit procedures in line with HR policies and procedures.
  • Set up and maintain a document management and filing system, both physical and electronic.
  • Maintain accurate database and records of all stakeholders.
  • Provide administrative support for AUA community events, including community days, fetes, and special events.
  • Review and streamline online and offline registration processes internally and externally.
  • Produce reports as required - statistics for annual report, statistics for Board reports.
  • Work with the Bookkeeper to undertake invoicing and reconciliations.
Required Skills and Qualifications

Essential Skills:

  • Excellent organizational and time management skills.
  • High-level interpersonal, written, and verbal communication skills.
  • Technical proficiency in the use of MS Office Suite, with proficiency in Excel and XERO.

Desirable Skills:

  • Demonstrated ability to strategically manage program administration whilst working collaboratively to achieve joint objectives.
