Job Overview

The key role of this position is to provide support to the Product Manager in managing vendor relationships, stock levels, and customer inquiries. The successful candidate will be responsible for maintaining accurate records, providing timely updates, and resolving customer issues.


Main Responsibilities:
  • Maintain and update vendor price lists across ERP and inventory systems to ensure accurate pricing information is reflected across all platforms.
  • Manage exchange rate-based pricing adjustments for USD vendors by monitoring currency fluctuations and making necessary adjustments to ensure fair market prices.
  • Process retailer rebates and scan claims with accuracy and timeliness to minimize any potential losses or errors.

Stock Management:
  • Monitor weekly stock levels across warehouses and place replenishment orders to maintain optimal inventory levels.
  • Manage ageing inventory and coordinate with vendors on returns and stock balancing to prevent unnecessary costs or losses.
  • Submit and track customer returns, liaising with vendors for resolution to ensure customer satisfaction.
  • Ensure warehouse teams meet SLAs for order processing to maintain efficient and effective operations.
  • Respond to Consumer Sales team enquiries about pricing, availability, and product info to provide excellent customer service.
  • Prepare regular stock and pricing updates for key retail partners to maintain strong business relationships.
  • Understand vendor agreements and communicate key terms across departments to ensure seamless collaboration.
  • Attend regular vendor meetings alongside the Product Manager to stay informed and aligned with vendor expectations.
  • Record meeting minutes and follow up on open items to ensure actions are taken and progress is made.

Customer Service & Communication:
  • Manage vendor inboxes and respond to operational queries to provide prompt and professional service.
  • Place and track sales orders (including COD) to ensure timely and accurate fulfillment.
  • Keep all departments informed with timely updates using internal tools to maintain a collaborative work environment.
  • Ensure the sales team has up-to-date sales materials and tools to support their efforts.

Reporting & Insights:
  • Generate stock, sell-in/sell-out, and backorder reports to provide valuable insights and inform business decisions.
  • Assist with vendor claims in coordination with the Vendor Operations Manager to resolve any issues efficiently.
  • Build ad hoc reports for vendors and retail partners as needed to provide tailored information and support.
