The Opportunity
At Urbis, we are seeking a highly motivated and organized individual to join our Planning Team as an Administrative Coordinator.
This is an exciting opportunity to provide administrative support to the Directors and wider team, ensuring operational excellence and contributing to the success of our business.
Your role:
- Serve as a key member of our team, coordinating appointments and providing assistance where required.
- Manage and oversee monthly project invoicing for the team, ensuring accurate and timely payment.
- Provide high-quality administrative support to the Directors and wider team, including invoicing support, project scheduling, and report formatting.
- Create expense reports and enter disbursements on behalf of Directors, ensuring accurate reconciliation and entry.
- Manage emails, diaries, conference and meeting room bookings, catering, and video conference arrangements.
- Support the coordination of team meetings, marketing activities, events, and resources.
About You:
- Experience in a similar role supporting multiple people.
- Intermediate level of experience using the Microsoft Office suite of products (Outlook, Word, Excel, and PowerPoint).
- Previous experience working with Project/Business Management Systems, including invoicing.
- Exceptional written and verbal communication skills.
- Proven ability to multi-task and successfully manage multiple priorities simultaneously.
We offer a competitive salary package, estimated at $60,000 - $80,000 per annum, depending on experience.
