Job SummaryAn experienced Administrator with a strong background in maintenance administration is required to join our team at Tomago facility.
The ideal candidate will work closely with senior management and other teams to ensure the smooth operation of administrative functions within the workshop environment.
This opportunity involves providing comprehensive administrative support to the workshop team, ensuring accurate record-keeping, and maintaining a high level of integrity in all tasks.
The successful applicant will be responsible for raising purchase orders, managing tablet data, and reconciling timesheets.
Additional responsibilities include maintaining safety statistics, KPIs, and asset registers.
Apart from administrative tasks, the position also involves coordinating LMS training requirements, maintaining training records, and updating forms and checklists.
The ideal candidate will possess excellent organisational skills, attention to detail, and advanced computer literacy.

Key Responsibilities:- Raising purchase orders for facility maintenance, compliance, and standard monthly administrative tasks.
- Managing labour hire POs and reconciling submitted timesheets against tablet data.
- Recording safety statistics and KPIs for the Tomago facility.
- Maintaining the site login system and conducting regular office and environmental inspections.
- Coordinating uniform/PPE requirements for workshop employees and managing contractor relationships.
- Maintaining asset registers, including tool calibrations and year-end reconciliation.
- Ensuring all employees are up-to-date with LMS training requirements and maintaining training records.
- Overseeing the shared admin mailbox and updating forms, checklists, procedures, and instructions.
- Extensive experience as an Administrator, preferably in a workshop or maintenance environment.
- High level of initiative, problem-solving skills, and ability to manage fluctuating workloads.
- Excellent organisational skills, attention to detail, and advanced computer literacy (Microsoft Office Suite).
- Experience using JDEdwards, invoicing, and purchasing systems (highly desirable).
- Knowledge of underground mining machinery (advantageous).
