Job Overview

The Administration Manager plays a pivotal role in providing strategic direction and leadership to Ambulatory Administration teams. This critical position involves ensuring the coordination of patient appointments, delivering high standards of customer service, and driving quality improvement initiatives.

In this dynamic role, you will lead administration teams responsible for managing day-to-day operations, including rostering, leave management, annual performance appraisals, EFT management, recruitment, and budget reporting. You will also provide expertise in systems and administrative processes related to patient registrations, referrals, appointments, and revenue management.

Key Responsibilities:

  • Effectively manage the day-to-day operational aspects of the administration team, ensuring efficient use of resources and optimal outcomes.
  • Provide expert guidance on systems and administrative processes, including those relating to patient care and revenue management.
  • Facilitate ongoing training, education, and support for the team, focusing on quality improvement and process enhancement.
  • Review and monitor changes in team activity, workloads, and staffing allocation, ensuring adequate cover for all services.
  • Prepare timely and accurate reports on team performance and quality data, trends, and changes.
  • Identify opportunities for process improvement and lead change initiatives in collaboration with clinical teams.
  • Create a positive, learning culture within the administration team, founded on collegiality and mutual respect.

Required Skills and Qualifications:

  • Experience in specialist clinics administration and the use of EPIC system is highly regarded.
  • Qualified tertiary graduate or several years' experience in an administration/customer service setting.
  • Experience providing direct line supervision to teams of 10-30 people.
  • Strong customer service skills, enabling effective communication and respectful interaction with patients and staff.
  • Strong communication and stakeholder management skills.
  • Experience in managing conflicting priorities.
  • Demonstrated skills in IT systems, preferably in a healthcare setting.
  • Competent in Microsoft Office Suite.
