About the Role

We are seeking an experienced Facilities Senior Coordinator to join our Global Workplace Solutions (GWS) team in Brisbane. This role is a key position in delivering high-quality facilities services to our clients, ensuring seamless execution of planned and reactive works across multiple sites.

Job Overview

In this role, you will be responsible for managing and maintaining the delivery of facilities services, building strong relationships with stakeholders, and ensuring compliance with statutory and non-statutory maintenance requirements. You will also oversee vendor performance, work processes, and attestation procedures, as well as support the Account Manager administratively.

Responsibilities
  • BUILD STRONG WORKING RELATIONSHIPS WITH CONTRACT STAKEHOLDERS TO ENSURE EFFECTIVE COMMUNICATION AND COORDINATION OF FACILITIES SERVICES.
  • MANAGE ADMINISTRATIVE TASKS ASSOCIATED WITH CONTRACT MANAGEMENT, INCLUDING MAINTAINING AUDITABLE TRAILS.
  • ENSURE PLANNED, UNPLANNED MAINTENANCE, AND QUOTED WORK ARE COMPLETED WITHIN KPI TARGETS AND IN LINE WITH AGREED SCOPE OF WORKS.
  • REVIEW SERVICE REPORTS TO IDENTIFY DEFECTS AND REQUEST QUOTES FOR REMEDIATION.
  • PROCESS INCOMING INVOICES AND INVOICE MATCHES PURCHASE ORDER LINE VALUE.
  • MEET ANNUAL HSE TRAINING AND/OR COMPLIANCE REQUIREMENTS.
  • ENSURE VENDORS HAVE COMPLETED THEIR CBRE INDUCTION PRIOR TO ATTENDING CLIENT SITES.
Requirements
  • 3+ YEARS EXPERIENCE IN A SIMILAR ROLE, WITH INTERMEDIATE LEVEL EXPERIENCE IN MICROSOFT WORD/EXCEL/OUTLOOK/POWERPOINT.
  • GOOD PC-BASED SKILLS, INTRANET/INTERNET, AND BROAD KNOWLEDGE IN GENERAL TRADE MAINTENANCE AND MANAGEMENT OF BUILDING WORKS.
  • STRONG UNDERSTANDING OF WHS/OHS REQUIREMENTS.
  • FINANCIAL/ACCOUNTING EXPERIENCE WOULD BE AN ADVANTAGE.
  • COMMUNICATION EXPERIENCE ACROSS VARIOUS DIVISIONS AND STAKEHOLDERS (INTERNAL/EXTERNAL).
