About the Role
The Executive Secretary will provide dedicated support to committees, ensuring seamless coordination and efficient communication. This full-time role requires strong organisational skills, sound judgment, diplomacy, and resilience.
Key responsibilities include:
- Recruiting, appointing, and inducting committee members, as well as managing their remuneration
- Maintaining professional relationships with stakeholders, including committee chairs, departmental representatives, and experts
- Effective information management, including monitoring shared secretariat email inboxes and phone lines, and maintaining accurate records
- Editing, formatting, consolidating, and distributing agenda papers and out-of-session items
- Scheduling and hosting committee meetings online, keeping a record of attendee apologies and proxies
- Providing logistical support for all committee meetings, including admitting attendees, sharing slides, monitoring chat, and taking detailed minutes
- Drafting meeting minutes and action items for departmental and/or chair review
- Managing timeframes to ensure successful delivery of contracted deliverables
- Assisting with other activities within the Evaluation and Advisory division, including proposal preparation and deliverable development

You'll have the opportunity to work from home and collaborate with our Melbourne-based team (minimum one day per week). About You
We're seeking an experienced professional with:
- Tertiary qualifications in science or health sciences
- Background in administration and governance
- Strong organisational skills, sound judgment, and diplomatic approach
- Excellent oral and written communication skills, with experience liaising with diverse groups, including government representatives and technical experts
- Exact attention to detail
- Excellent time management skills, including prioritising competing demands
- Proficiency in Microsoft Office, including Word and Teams
- Experience using Adobe Acrobat for collating meeting papers
- Able to navigate and synthesise complex content
- Availability to work outside business hours when necessary
