Job Summary
The Racing and Wagering Western Australia (RWWA) is seeking an experienced Administrative Coordinator to support the Off The Track Western Australia (OTTWA) rehoming program. As a key member of the team, you will provide general support and coordination of administrative functions, ensuring the smooth operation of our initiatives aimed at rehoming retired racehorses.
Key Responsibilities
- Administrative Support: Provide administrative support to the manager, liaising with the OTTWA Retrainers, prospective buyers, internal RWWA staff, and other stakeholders.
- Record Keeping: Maintain accurate and up-to-date records, including horse rehoming paperwork, financial documents, and correspondence.
- Logistics and Coordination: Book Murdoch University health intake visits, liaise with the OTTWA Manager, and coordinate horse movements to and from the Estate.
- Financial Management: Manage all payment processes to Retrainers, suppliers, Network Retrainers, and intake rebates to trainers.
- Marketing and Promotion: Liaise with the Manager and Animal Welfare Marketing team to engage followers for promoting OTTWA initiatives and sale of horses. Assist with social media platforms, writing and posting updates to social media channels and websites as required.
- Equine Welfare Initiatives: Assist with the implementation of equine welfare initiatives, such as SafeHouse, and work with the Sponsorship and Partnership coordinator to assist with the administration and partnerships for this and other projects.
- Record Maintenance: Regularly update and maintain records of OTTWA horses available for rehoming, including their profiles, retraining program, medical histories, and current status.
- Passport Management: Manage OTTWA passports for all horses that are part of the OTTWA Retraining & Rehoming program.
- Supply Chain Management: Responsible for ordering feed, equipment, medication, and supplies as directed by the manager.
- Reporting and Analysis: Assist with generating reports and analyze data to track program effectiveness.
Requirements
- Teamwork and Autonomy: Ability to work in a team and autonomously to deliver outcomes.
- Administrative Experience: Proven experience in administrative roles in a busy environment managing competing deadlines.
- Communication Skills: Demonstrated high-level communication skills, both written and verbal, with the ability to effectively interact with diverse stakeholders.
- Attention to Detail: High-level attention to detail and accuracy in the execution of work.
- Computer Literacy: Well-developed computer literacy skills with Microsoft Office 365.
- Problem-Solving: Strong problem-solving skills.
- Customer Service: Demonstrated delivery of high-level customer service.
- Driver's License: Current 'C' class driver's license.
Desirable Qualifications
- Equestrian Knowledge: Knowledge and understanding of different equestrian disciplines to assist organizational requirements.
- Racing Experience: Experience with Thoroughbreds and/or Standardbreds in racing or retirement.
- Retraining Experience: Experience with retraining retired racehorses.
