Senior Executive Support Specialist

This Senior Executive Support Specialist position is a fantastic opportunity to work with a global organisation in a dynamic and collaborative environment. As a key member of the Investment Management Leadership Team (IMLT), you will provide high-level administrative support to the Mercer Pacific Chief Investment Officer (CIO) and the IMLT.
Your primary responsibilities will include effective calendar and diary management, relationship building and maintenance, communication and correspondence, meeting and event coordination, project management, and travel and expense management.
Responsibilities- Effective Calendar and Diary Management: Proactively manage complex calendars, schedule meetings and appointments, and anticipate and resolve scheduling conflicts.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and vendors.
- Communication and Correspondence: Draft, edit, and proofread correspondence, reports, and presentations on behalf of the IMLT.
- Meeting and Event Coordination: Prepare meeting agendas, materials, and presentations, and coordinate logistics for meetings, including room bookings, catering, and audiovisual equipment.
- Project Management: Provide support on strategic projects and initiatives as assigned by the CIO or Office Leader.
- Travel and Expense Management: Arrange domestic and international travel for key decision makers, process travel expenses, and reconcile credit card statements.
- Proven experience as an executive assistant or in a similar role supporting senior executives (at least 5 years' experience)
- Experience working in a global, matrix organisation across multiple time zones and countries
- Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Ability to handle sensitive and confidential information with discretion and maintain a high level of professionalism
- Strong interpersonal skills, with the ability to build relationships and work effectively with individuals at all levels of the organisation
- Proactive and resourceful, with the ability to anticipate needs and take initiative
