Your Future Role
We are seeking an experienced Business Support Specialist to provide critical support to the Finance and Human Resources Directors at our Australian head office in North Ryde. This 12-month maximum term contract offers a unique opportunity to join our dynamic team and contribute to the success of two key functions within the ANZ organisation.
Main Responsibilities
- Support the Directors in creating agendas, distributing meeting minutes, actions, and events, ensuring seamless coordination and effective communication.
- Manage event logistics, including supplier communications, facilitator arrangements, and attendee management, as well as handle purchase requests, purchase orders (PO), and external vendor queries.
- Provide day-to-day operational support to the Directors, encompassing team and individual meeting arrangements, travel bookings (onshore and offshore), hotel accommodations, expense claims, and voucher management.
- Maintain computer systems by updating data, creating and distributing documents, and ensuring efficient documentation and filing systems.
- Arrange appointments, schedule meetings, and maintain calendars for the Finance and HR Leadership teams.
- Undertake general finance and HR duties, including confidential dossier management, report generation, and data entry.
- Produce reports, presentations, and briefs, and develop and implement efficient documentation and filing systems.
- Manage invoices, including supplier creation, PO creation, and follow-up with suppliers and the accounting department, while also handling expenses.
- Support logistics organization for Executive & HR seminars.
Your Skills and Qualifications
- Demonstrate exceptional multitasking abilities, prioritization skills, and attention to detail, ensuring efficient task completion and minimal errors.
- Showcase strong verbal and written communication skills, with the ability to interact professionally at all levels, fostering effective collaboration and relationships.
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and experience with project management tools, enabling seamless integration and productivity.
- Demonstrate discretion and integrity when handling sensitive information, upholding confidentiality and trust.
- Exhibit strong analytical skills, anticipating needs and resolving issues proactively, ensuring timely resolution and minimal disruption.
- Able to thrive in fast-paced environments, adapting to changing priorities and deadlines, and maintaining a calm demeanor under pressure.
- Excellent relationship-building skills and a collaborative mindset, fostering positive working relationships and a supportive team culture.
- Strong time management skills, with a proven ability to meet deadlines and deliver results-oriented outcomes.
