Office Coordinator Role

We are seeking an efficient and highly organized Office Coordinator to join our Administration Team.

Main Responsibilities:
  • Provide comprehensive reception services, including greeting and assisting participants, answering telephone calls, and directing clients to the relevant staff member.
  • Schedule SMS reminders for clients with accurate information about their upcoming appointments.
  • Seek assistance as needed on any matter presenting at reception, including people in distress or confusion.
  • Update client information held within the database, including contact details, addresses, groups, and client types as necessary.
Additional Duties:
  • Perform operational tasks as delegated by the Manager - Community & Corporate.
  • Organize catering for groups or events as required.
  • Create and format documents to meet high standards in external presentation of our organization and ease of internal usage.
  • Identify opportunities for improvement, solve problems, and increase efficiency of administrative functions where possible.
  • Assist in planning and recording meetings as requested.
  • Maintain confidentiality in the management of sensitive information relating to staff or participant matters.
  • Delegate IT operations as required.
  • Adhere to organizational policies and procedures and minimize waste.
  • Perform other tasks delegated by a Service Coordinator that contribute to the efficient running of the office.
