
Administrative Support Specialist

We are seeking a detail-oriented Office Patient Assistant to join our administrative team.
The successful candidate will provide exceptional reception and secretarial services to patients and staff in a caring and supportive manner.
- General Administration:
- Answer the switchboard in a professional and courteous manner.
- Liaise with patients and their families in a compassionate way.
- Perform general clerical tasks as required, including filing, minute taking, and agenda creation.
- Responsible for petty cash management and reconciliation.
- Responsible for maintaining office supplies levels and ordering accordingly.
- Responsible for bookings and patient transport coordination.
- Provides assistance with quality improvement initiatives.
- Responsible for holiday patient inquiries and application coordination if needed.
- Creates and maintains patient Newsletter.
- Billing Administration:
- To admit and discharge patients within a centralized billing system.
- To ensure that all necessary forms for new patients are completed and correctly loaded into the centralized billing system.
- To conduct eligibility checks on all new patients with their private health fund.
- Prepare invoices and credit notes for revenue generation.
- Prepare and collate supporting documentation for invoices.
- Undertake banking procedures for cheque and cash payments.
- Prepare and maintain accurate records of patient information.
- Prepare and maintain reconciliation records.
- Patient Service:
- Maintain cleanliness and neatness of treatment area, stockroom and medical devices according to clinic procedure.
- Assist with food preparation and delivery to patients and visitors including ordering.
- Maintain consumables stock levels in the stockroom and trolley/s required for daily operation.
- Restock consumables in the stockroom and trolley/s as required.
- Manage stock ordering for the operation of the clinic.
- Confirm stock delivery and cross check inventory with documentation.
- Maintain Clinical Manager database.
- Routine collection and disposal of linen, rubbish and contaminated waste.
- Coordinate blood sample collection by pathology lab, help spin blood before collection.
- Participate in Quality Assurance activities as required by the Dialysis Clinic Manager.
- Ensure a safe and healthy working environment for staff and a comfortable environment for visitors and patients.
- Engage in internal and external training to enhance skills and knowledge.
Key competencies include:

- Understanding of the Quality Improvement process and risk management obligations.
- Demonstrated commitment to quality improvement initiatives.
- Team player.
- Ability to work confidentially and with discretion.
