Job Title: Theatre Show Coordinator
We are seeking an experienced and highly skilled coordinator to join our team in coordinating the launch of a travelling theatre show across Australia.
The ideal candidate will have excellent project management skills, with the ability to coordinate logistics and operations from start to finish. They will also be responsible for managing venue bookings, including theatre bookings and big top tents, as well as upholding event timelines and working with team members on deliverables and due dates.
Key Responsibilities:
- Coordinate the launch of traveling theatre shows that will travel around the majority of states in Australia but significantly up the Eastern Seaboard to Melbourne, Sydney, and Brisbane
- Manage venue bookings such as theatre bookings and big top tents
- Uphold event timelines and work with team members on deliverables and due dates
- Work with creative directors on all deliverables
- Collaborate with media teams on tour announcement strategies
- Report to the CEO, Operations Manager, and management on event timelines with updates on progress as required
- Monitor event deliverables and highlight any challenges or innovative solutions
- Create and manage floor plans to maximise visitor flow and exhibitor success, working with suppliers and contractors
- Coordinate communications with suppliers and contractors
- Work with venues on all planning requirements
- Manage food and beverage bookings
- Coordinate liquor licenses
- Contract talent and manage all necessary requirements, bookings, and insurances
- Coordinate development of standards and related documents through constructively managing stakeholder input and venue requirements
- Establish and maintain plans and information for all events using the organisation's project management system, including risks, scope, size, and timelines, in consultation with stakeholders
- Ensure events are delivered within agreed parameters and companies event management methodology
- Work to budgets
- Coordinate logistics for event needs
- Coordinate staff rosters on site of live events
- Coordinate all relevant needs for events allocated by management, CEO, Operations Manager, clients, exhibitors, and team members
Requirements:
- Experience in following budgets and timelines
- Have a creative flare
- Experience with creating floor plans
- Excellent communication and stakeholder management skills
- Experience organising relevant permits and licenses is desirable
- Domestic travel will be required to most states in Australia
