Events Operations Manager

As the Conference & Events Manager, you will collaborate closely with our Groups & Events Sales Manager to effectively secure and manage event business at the resort. You will take full responsibility for events once they are confirmed by our Sales Manager, serving as the primary contact for all group and event-related matters. Your role will involve building strong relationships with event organizers and ensuring seamless communication with our sales and operations teams to surpass client expectations.

Key Responsibilities:

  • Oversee the creation and management of all event documentation, including Conferences, Incentives, Weddings, and Private Events from the moment contracts are signed until the group departs.
  • Generate and process banquet event orders efficiently.
  • Regularly update the Meetings and Event Forecast and Operations Calendar, representing Events at operational meetings and leading pre-conference discussions.
  • Provide leadership, development, training, and mentorship to the event team.
  • Achieve budgeted targets for wage costs and expenses.
  • Ensure all events are executed according to established event orders.
  • Conduct site inspections and client meet-and-greets as necessary.
  • Maintain proactive communication with clients leading up to their events, reminding them of key contractual milestones.
  • Stay informed about available third-party vendor services and foster strong ongoing relationships.
  • Prepare and communicate group resumes for all resort groups.
  • Schedule and facilitate pre-conference meetings with all key stakeholders.

Qualifications:
  • A minimum of 2 years of experience in a similar management role within a resort setting or 4 years in event coordination is highly regarded.
  • Proven knowledge and skills in Food and Beverage operations, along with substantial experience in Conference and Event management.
  • A collaborative team player who remains composed under pressure, possesses analytical thinking skills, and can prioritize and delegate effectively.
  • Strong leadership abilities with a high degree of responsibility, accountability, and ownership.
  • Confident in engaging with peers and senior colleagues, empowering others to make decisions.
  • Understanding of budget and P&L financial reporting.
  • Intermediate to advanced proficiency in Microsoft Office Suite.
  • Experience with Delphi or similar systems is advantageous.
  • Well-presented with excellent written and verbal communication skills.
  • Possession of a current RSA and driver's license.
  • Current Food Handler Basics Training Certificate or willingness to complete.
  • Flexibility to work various shifts, including mornings, evenings, and weekends.
  • Must be an Australian resident or citizen; temporary working or student visa holders will not be considered.
