As the Events Operations Manager, you will collaborate closely with our Groups & Events Sales Manager to effectively secure and manage event business at our resort. You will take full responsibility for events once they are confirmed, serving as the primary contact for all group and event-related matters. Building strong relationships with event organizers and ensuring seamless communication with our sales and operations teams will be key to exceeding client expectations.

Your responsibilities include:

  • Overseeing the creation and management of all event documentation, including Conferences, Incentives, Weddings, and Private Events from the moment contracts are signed until the group departs.
  • Generating and processing banquet event orders.
  • Regularly updating the Meetings and Event Forecast and Operations Calendar, representing Events at operational meetings, and leading pre-conference discussions.
  • Providing leadership, development, training, and mentorship to the events team.
  • Meeting agreed budgetary targets for labor costs and expenses.
  • Ensuring all events are executed according to the established event orders.
  • Conducting site inspections and client meet-and-greets as necessary.
  • Maintaining consistent communication with clients leading up to their events, reminding them of important contractual deadlines.
  • Keeping abreast of available third-party vendor services and fostering strong working relationships.
  • Preparing, maintaining, and distributing group resumes for all resort groups.
  • Coordinating and facilitating pre-conference meetings with all key stakeholders.
About Elements of Byron: Set on fifty acres of pristine beachfront, Elements of Byron is a prestigious resort offering luxurious accommodations, top-notch facilities, and unforgettable experiences. Our Banksia Pavilion is the largest event space in the Northern Rivers area, featuring controllable natural light, two high-resolution video walls, and state-of-the-art AV equipment. It opens to the Banksia Terrace, a stunning outdoor courtyard with a private bar. Additional venues include the Duck Pond space, The Lawn, Belongil Pavilion, Private Dining room, and Breeze Poolside Bar and eats.

Qualifications:
  • A minimum of 2 years of experience in a similar management role within a resort setting, or 4 years in event coordination is highly regarded.
  • Proven knowledge and skills in Food and Beverage operations, along with experience in Conference and Event management.
  • A collaborative team player who remains composed under pressure, with strong analytical skills and the ability to prioritize and delegate tasks effectively.
  • Exceptional leadership qualities, demonstrating a high level of responsibility, accountability, and ownership.
  • Confidence in interacting with peers and senior colleagues, empowering others to make informed decisions.
  • Understanding of budget management and P&L financial reporting.
  • Intermediate to advanced proficiency in Microsoft Office Suite.
  • Experience with Delphi or similar event management systems is advantageous.
  • Well-presented with excellent communication skills, both written and verbal, along with strong interpersonal abilities.
  • Possession of a current NSW RSA and driver's license.
  • Current NSW Food Handler Basics Training Certificate or willingness to obtain.
  • Flexibility to work various shifts, including mornings, evenings, and weekends.
  • Must be an Australian resident or citizen; temporary working or student visa holders will not be considered.
