Events Operations Leader

As the Events Operations Leader, you will collaborate closely with our Groups & Events Sales Manager to effectively secure and manage event business at our resort. You will take full responsibility for events once they are confirmed by our Sales Manager, serving as the primary contact for all groups and events. Your role will involve building strong relationships with event organizers and ensuring seamless communication with our sales and operations teams to surpass client expectations.
Your responsibilities include:
- Overseeing the creation and management of all event documentation, including Conferences, Incentives, Weddings, and Private Events from the point of contract signing to group departure.
- Generating and processing banquet event orders.
- Regularly updating the Meetings and Event Forecast and Operations Calendar, representing Events at operational meetings, and leading pre-conference discussions.
- Providing leadership, development, training, and mentorship to the team.
- Meeting agreed budgetary targets for wage costs and expenses.
- Ensuring all conferences and events are executed according to event orders.
- Conducting site inspections and client meet-and-greets as necessary.
- Maintaining regular communication with clients leading up to the event, advising them on important contractual dates.
- Keeping current knowledge of available third-party vendor services and fostering strong ongoing relationships.
- Preparing, maintaining, and communicating group resumes for all resort groups.
- Scheduling, preparing, and facilitating pre-conference meetings with all key stakeholders.
Qualifications:
- A minimum of 2 years of experience in a similar management role within a resort environment is preferred, or 4 years of experience in event coordination is highly regarded.
- Proven knowledge and skills in Food and Beverage Hotel/Event operations, along with experience in Conference and Event management.
- A strong team player who can remain composed under pressure, with analytical thinking skills and the ability to prioritize and delegate tasks.
- Demonstrated leadership abilities with a strong sense of responsibility, accountability, and ownership.
- Confidence in dealing with peers and senior colleagues, with the ability to empower others to make decisions.
- Understanding of budget and P&L financial reporting.
- Intermediate to advanced proficiency in Microsoft Office Suite.
- Previous experience with Delphi or a similar system is advantageous.
- Well-presented with excellent communication (both written and verbal) and interpersonal skills.
- Current NSW RSA and driver's license.
- Current NSW Food Handler Basics Training Certificate or willingness to complete it.
- Flexibility to work various rostered shifts, including mornings, late evenings, and weekends.
- Must be an Australian resident or citizen; temporary working or student visa holders cannot be considered.
