Events Operations Leader

As the Events Operations Leader, you will collaborate closely with our Groups & Events Sales Manager to effectively secure and manage event business at the resort. You will take complete ownership of events once they are confirmed, serving as the primary contact for all groups and events, fostering strong relationships with event organizers, and ensuring seamless communication with our sales and operations teams to surpass client expectations.

Your responsibilities include:

  • Overseeing the creation and management of all event documentation, including Conferences, Incentives, Weddings, and Private Events from the point of contract signing to group departure.
  • Generating and processing banquet event orders efficiently.
  • Regularly updating the Meetings and Event Forecast and Operations Calendar, representing Events in operational meetings, and leading pre-conference discussions.
  • Providing leadership, development, training, and mentorship to the team.
  • Achieving budgeted targets for wage costs and expenses.
  • Ensuring all events are executed according to established event orders.
  • Conducting site inspections and client meet & greets as necessary.
  • Maintaining regular communication with clients leading up to the event, advising them on key contractual milestones.
  • Keeping abreast of available third-party vendor services and nurturing strong ongoing relationships.
  • Preparing, maintaining, and sharing group resumes for all resort groups.
  • Coordinating, preparing, and facilitating pre-conference meetings with all key stakeholders.

Qualifications:
  • A minimum of 2 years of experience in a similar management role within a resort setting is preferred, or 4 years in an event coordination capacity is highly regarded.
  • Proven knowledge and skills in Food and Beverage operations, along with comprehensive Conference and Event management experience.
  • A collaborative team player who remains composed under pressure, demonstrates analytical thinking, and is adept at prioritizing and delegating tasks.
  • Strong leadership abilities with a high degree of responsibility, accountability, and ownership.
  • Confidence in engaging with peers and senior colleagues, empowering others to make informed decisions.
  • Understanding of budget and P&L financial reporting.
  • Intermediate to advanced proficiency in Microsoft Office Suite.
  • Previous experience with Delphi or a similar system is advantageous.
  • Well-presented with excellent communication (both written and verbal) and interpersonal skills.
  • Possession of a current NSW RSA and driver's license.
  • Current NSW Food Handler Basics Training Certificate or willingness to complete it.
  • Flexibility to work various shifts, including mornings, late evenings, and weekends.
  • Must be an Australian resident or citizen; temporary working or student visa holders cannot be considered.
