We are currently seeking an experienced and skilled Senior Administration Officer to join our team. This position will support the dealership's administrative functions, providing a high level of accuracy and attention to detail.
About the Role:
- Banking tasks: The successful candidate will be responsible for managing banking tasks, ensuring all transactions are accurately recorded and balanced.
- Cost management: They will maintain accurate records of costs associated with vehicle sales, ensuring that financial reports are up-to-date and reliable.
- Sales log updates: The Senior Administration Officer will update the sales log with key customer information, vehicle specifications, and payment terms.
- Financial reporting: They will calculate vehicle profits, maintaining accurate financial records and providing valuable insights for business decision-making.
- VicRoad transfers: The role requires handling VicRoad transfers for sold vehicles, adhering to regulatory guidelines and ensuring compliance.
- Inventory management: The successful candidate will assist in managing inventory, sourcing both new and used cars, and overseeing the registration process for all vehicles.
- Registration process: They will ensure that all vehicles are registered correctly, following regulatory guidelines and maintaining accurate records.
- Payouts and reconciliations: The Senior Administration Officer will process vehicle payouts accurately, maintaining thorough records of all transactions and conducting regular book reconciliations.
- Documentation and submissions: They will utilize Docusmarts for documentation and submissions, ensuring timely and accurate completion of tasks.
- File organization: The successful candidate will organize files for easy access to documents, facilitating efficient workflow and productivity.
- Floor plan statements: They will reconcile floor plan statements regularly, maintaining accurate financial records and identifying areas for improvement.
- Book reconciliations: The role requires conducting regular book reconciliations, ensuring accurate financial records and maintaining compliance with regulatory requirements.
- Citylink statements: The Senior Administration Officer will review Citylink statements, check toll charges, and address any issues, ensuring accurate financial reporting.
- COD list management: They will manage the COD list, ensuring payments are accurate and timely, and schedule payments accordingly.
- Supplier statement reconciliation: The successful candidate will reconcile supplier statements, schedule payments, and maintain accurate financial records.
- Dealership reporting: They will assist with weekly and monthly dealership reporting, providing valuable insights for business decision-making.
About You:
- Previous experience in an administrative role, preferably within a dealership environment. Candidates with dealership experience looking to transition from other departments are also encouraged to apply (training provided).
- Exceptional organisational and multitasking skills with a keen attention to detail.
- Strong written and verbal communication abilities to interact professionally with customers and team members.
- Ability to work autonomously and independently.
- Proficient in MS Office Suite (Word, Excel, Outlook); knowledge of dealership management systems (TUNE) is a plus.
- Capacity to maintain confidentiality and handle sensitive information with integrity.
- A friendly, positive attitude committed to providing excellent customer service.
- A valid Victorian Driver's License is required.
