Project Administrator Coordinator

This is a fantastic opportunity to work with Contract Resources Pty Ltd, a leading provider of specialised industrial and mechanical services. The company has experienced impressive growth since its establishment in 1989 and is well-positioned to take on projects for clients around the world.
We are seeking a skilled Project Administrator to join our team in Jandakot, WA. As a key member of our team, you will be responsible for supporting Oil & Gas, Onshore & Offshore projects across the Western Region.
Key Responsibilities:
- Efficiently set up contracts and jobs in electronic systems to enable timely invoicing, cost monitoring, and control.
- Accurately and efficiently enter daily data, including labour hours and equipment data, using in-house systems and client systems.
- Coordinate client timesheet submission and ensure approval of timesheets.
- Monitor and liaise with PM's to meet monthly invoicing deadlines.
- Run project costs reports prior to preparing final invoices.
- Review and submit invoices, as well as project progress claims when required.
- Raise purchase orders and undertake end-of-month reconciliations.
- Assist workforce planning, ticketing, and distribution of travel itineraries.
- Place material and consumable orders to support workshops during high-activity periods.
- Assist with payroll entry when required.
- Prepare monthly KPI reports as needed per contract and prepare daily and weekly reports for projects.
- Develop performance dashboards for key metrics, including man-hours and HSE performance.
- Maintain document registers for key project or client-specific documents and establish document management protocols for effective tracking and storage.
- Complete EOM duties to meet financial deadlines, such as WIPS, accruals, open PO reviews, and GL reviews.
About You
To succeed in this role, you will have at least two years' experience working in an office/administrative environment. You should possess a high level of Microsoft Excel skills and be proficient in data entry. Experience in the Construction/Mining/Oil & Gas industry would be advantageous but is not essential. Additionally, you will need to demonstrate strong attention to detail, ability to multitask, and maintain confidentiality. You must also have confidence in offering system improvements and suggestions. Strong organisational skills, prioritisation, and analytical skills are also essential.
Salary
The estimated annual salary for this position is AU$80,000 - AU$110,000, depending on your experience and qualifications.
