Job Overview

We are seeking a proactive and dynamic Facilities Coordinator to join our team.

The successful candidate will be responsible for managing a diverse portfolio of client sites, reporting to the Account Manager or Facilities Manager, supporting and assisting with all duties, and being the initial point of contact for reactive maintenance works.

Key Responsibilities:

  • Manage an assigned portfolio of client properties
  • Support and assist the Facilities Manager as required
  • Interface between the Landlord and client business operationally
  • Monitor and assess completed sub-contractor works
  • Establish and maintain the asset lifecycle plan for all plant and equipment
  • Induction of contractors and assurance of compliance with legislative requirements
  • Continual focus on innovation and improvement
  • Undertake budget builds and reforecasts
  • Closely monitor system transactions and supporting documentation
  • Assist with internal and external audits
  • Use technology to improve performance and process
  • Ensure process documentation is kept up-to-date
  • Invoice approvals and reconciliation of invoices
  • Financial Management: Support Facilities Manager for Reactive & Planned maintenance spend/financial administration and reporting/P&L statement reporting.
  • Relief and support of peers as required
  • Represent the business in negotiations and official occasions
  • Comply with all work, health, safety and environmental policies and procedures
  • Operate in a manner that will minimise any adverse environmental impacts associated with their activities.
  • Prepare and submit detailed and accurate business cases for approval where required
  • Build & maintain healthy working relationships with internal teams
  • Behave in such a way that encourages and supports a 'one team' culture.
  • Effective management of Work Orders within 30 days

Required Skills and Qualifications:

  • Australian Citizenship required
  • Currently based in Canberra
  • Willing and able to work onsite 5 days a week
  • Must hold or be willing to obtain Australian Government Security Clearance
