The Opportunity

We are seeking an experienced Administrative Experience Manager to join our Adelaide office team. As the director of first impressions, this role will be responsible for ensuring the smooth running and coordination of all office administration management activities.

Key Responsibilities:
  • Maintain office space and amenities to ensure a professional and welcoming environment for guests and staff.
  • Provide exceptional customer service by answering telephone calls, greeting visitors, and organizing meetings and functions.
  • Prepare meeting and boardrooms for management meetings, ensuring technology is functioning properly in advance.
  • Manage car park and building access requirements to facilitate seamless operations.
  • Distribute incoming and outgoing mail, as well as arrange couriers to maintain efficient communication.
  • Monitor and order consumables to maintain a well-stocked office.
  • Assist with new staff onboarding and offboarding processes, including hardware returns and inductions.
  • Organize meetings, functions, conferences, and training sessions as required.
  • Manage access cards and lockers, maintaining accurate records and ensuring secure access.
  • Book travel for staff through our travel management system.
  • Brief the marketing and communications team on any office requirements, such as branded documents and signage.
  • Ensure strong brand governance across the organization, adhering to approval processes and guidelines.
Requirements

To succeed in this role, you will need:

  • Advanced MS Office skills to efficiently manage administrative tasks.
  • Previous administration experience to understand the nuances of office management.
  • Professional presentation with excellent written and verbal communication skills to effectively interact with colleagues and clients.
  • Dedicated and organized approach to prioritize tasks and manage multiple responsibilities.
  • Excellent interpersonal skills to build strong relationships with staff and external stakeholders.
  • Able to work Monday to Friday, 8:30 am to 5:00 pm, with flexibility required.
