The Site Lead/Facilities Manager plays a pivotal role in maintaining a high-quality working environment for employees and their activities.
This position focuses on managing Reception, innovation, and problem-solving to meet business demands.
- Key Responsibilities:
The incumbent will develop and implement procedures, performance measures, and reporting. They will manage a program of inspections for company properties to ensure correct and efficient operations. Annual maintenance planning will be managed with appropriate supporting documentation for auditing purposes. Adequate supplies and services will be ensured for effective operations.
Office relationships with Base Building will also be managed.
People ManagementThe successful candidate will create and implement procedures, train staff, and ensure the creation of an environment that supports teamwork, co-operation, and performance excellence within the team. They will audit ways of working to create more efficient and streamlined processes.
Stakeholders will be proactively engaged to ensure that Facilities meet business needs. The incumbent will consult with business units to understand needs and meet or exceed expectations by providing excellent levels of customer service.
Effective stakeholder relationships across multiple levels within the organisation will be built and developed.
HelpdeskHelpdesk requests will be managed (day-to-day operational activities). All service requests will be logged and monitored, ensuring each request is routed to the correct team member/vendor responsible for performing the request.
Each request will be tracked to ensure it is closed correctly and in accordance with required timescales.
RiskCompliance with local and government regulations & legislation will be ensured. Risk management programs will be assisted with audits and recommendations implemented and maintained.
Escalation and incident reporting procedures will be adhered to.
ProcurementVendor procurement processes will be understood, and company procurement processes will be complied with.
Vendors will be managed to deliver services on time and within budget.
Contracts ManagementAll service contracts will be managed effectively. Planned and reactive works will be completed and verified.
Periodic meetings with vendors as appropriate will be held.
Finance ManagementFinancial processes will be followed at all times. Site financial operations will be ensured to meet or exceed targets and be within budget.
Preparation of plans, budgets, and reports will be assisted with.
Health & Safety ManagementA safe working environment will be provided. Statutory regulations on fire, health, and safety standards will be complied with.
