Job Overview

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at a boutique accounting firm in South Yarra.

About the Role

This is a rewarding opportunity to work as the first point of contact for clients, delivering exceptional service and upholding the firm's reputation for excellence.

Responsibilities:
  • Greet clients and visitors professionally, providing a welcoming atmosphere
  • Assist with basic accounting tasks, such as invoicing and billing
  • Liaise with ATO and ASIC, ensuring compliance and accuracy
  • Answer and direct phone calls efficiently, escalating issues as needed
  • Manage the firm's main email inbox, forwarding messages promptly
  • Schedule appointments and coordinate conference room bookings
  • Support clients with inquiries regarding services, appointments, and general information
  • Process client intake forms and update client databases accurately
  • Maintain the reception area, ensuring it remains clean, organized, and presentable
  • Coordinate incoming and outgoing mail and packages securely
  • Provide administrative support as needed, prioritizing tasks effectively
About You

The ideal candidate will possess excellent communication skills, previous experience in an accounting firm, and a proactive approach to managing multiple tasks.

Requirements:
  • Previous experience working within an accounting firm, preferably with ASIC and ATO experience
  • Experience in a customer-facing role, providing exceptional service and support
  • Strong verbal and written communication skills to interact confidently with clients, colleagues, and stakeholders
  • Ability to multitask, prioritize tasks, and manage various responsibilities efficiently
  • Familiarity with basic accounting terminology and processes
