
Site Operations Coordinator

The Facilities Manager will oversee the day-to-day management of client activities for assigned properties and facilities, serving as the primary point of contact for stakeholders and clients. This role assumes overall responsibility for ensuring compliance with relevant regulations, managing maintenance and contract services, and handling helpdesk interactions.
Main Responsibilities:
- Collaborate with the Helpdesk to manage escalations related to contractor performance and client complaints.
- Liaise with the Helpdesk to ensure timely completion of works in accordance with Key Performance Indicators (KPIs).
- Analyze fault logging records and reports to identify trends and develop mitigation plans.
- Manage contractor requests for access and inductions.
- Oversee the asset register, including building, plant, and equipment inspections and reporting.
- Manage minor works delegated by the Account Team, including ad-hoc tasks as required.
- Ensure that works do not impede occupation and operation of the facility without proper client approval.
- Be available for after-hours call-outs in emergency or crisis situations.
- Develop and implement strategies, policies, and procedures for contract management under the direction of the Account Director.
- Ensure compliance across allocated portfolios, obtaining necessary documentation as required.
- Manage repair and maintenance requests.
- Communicate with stakeholders and team members regarding issues anticipated to take extended time to complete or may experience delay.
- Schedule and manage preventative maintenance programs for allocated contracts, and associated corrective actions to achieve compliance.
- Monitor contractor performance against key indicators and provide regular reports on contract and performance status.
- Assist in the budgeting and forecasting process and provide financial data to the Finance Manager as required.
- Ensure compliance within delegated authority and budgets.
- Support the Account Director to proactively develop and manage relationships with occupants and clients to exceed service delivery expectations.
- Foster an environment that supports teamwork, cooperation, performance excellence, and personal success.
- Build and develop effective client/stakeholder relationships across multiple levels of the organization.
- Implement, comply with, and audit internal management systems.
- Ensure compliance with OH&S, Environment, and Risk Management Policies and Procedures.
- Ensure compliance with relevant regulations, such as Building Code of Australia and Australian Standards.
- Assist the Account Director in managing the process towards achieving and maintaining sustainability aspirations.
