
Financial Project Coordinator

Key Responsibilities:
Review and verify invoices to ensure accurate date and receipt of goods in line with project documentation (site diaries, purchase orders).
Confirm quantities and rates against purchase orders or related project correspondence ensuring proper allocation.
Assign project-specific codes to invoices accurately ensuring correct allocation to the right project, budget line, and cost category.
Generate purchase orders where necessary ensuring all invoices are correctly coded and ready for approval.
Invoices must be submitted to the relevant Cadet or Contracts Administrator for review and approval.
Monitoring Concrete Usage and Billing:
Review concrete invoices for accuracy cross-checking rates, quantities, surcharges, and invoices against pour plans or mud maps. Maintain a register for each project ensuring accurate tracking of forecasted vs actual concrete quantities. Monitor additional charges such as wastage, testing, levies, and surcharges Collaborate with the Contracts Administrator to track concrete usage and resolve discrepancies between invoiced and received quantities.
Payment Schedule Management:
Create and distribute payment schedules monthly to ensure alignment with project cash flow. Upload payment data and related documents into the Procore system for tracking and reporting.
