We are seeking a highly skilled Facilities Coordinator to join our Melbourne CBD team. As a key member of our facilities management team, you will be responsible for ensuring the smooth operation of our facilities and providing exceptional service to our clients.

Key Responsibilities

  • Manage and maintain our Computerized Maintenance Management System (CMMS), capturing all preventive and reactive work orders.
  • Serve as the first point of contact for internal and external customers regarding maintenance queries.
  • Allocate and delegate work orders to meet contract requirements and Key Performance Indicator (KPI) goals.
  • Generate reports in Excel to support various contract needs.
  • Assist with compiling quotes, invoices, safety maintenance service reports, and response documentation.
  • Utilize Microsoft Office Suite applications, particularly Excel, Word, and Outlook, and work order management systems.
  • Support Work Health and Safety (WHS) and permit-to-work processes.
  • Perform general administrative duties, including WHS, security, invoicing, and purchase orders.
  • Aid in budget preparation and forecasting.
  • Respond to reported issues, ensuring quick and efficient resolutions.

Skills & Experience

">
  • Background in building or facilities management is preferred.
  • Experience in creating detailed reports and recommendations.
  • Proficiency in QA, OH&S, and environmental systems.
  • Adaptable and proactive approach to changes and problem-solving.
  • Skilled in Microsoft Office applications, including Word, Excel, and Outlook.
