Event Coordinator (12-month contract – parental leave cover)

The Event Coordinator is a key member of Gilbert + Tobin's national events team, working across Sydney, Melbourne and Perth offices. Based in Melbourne, this role will deliver firm-wide and client events in Victoria, as well as contribute to planning and delivering national initiatives.

Reporting to the senior events coordinator, you will work closely with partners, lawyers and the broader business development team to design and deliver events that strengthen client relationships and support Gilbert + Tobin's objectives.

Key Responsibilities:
  • Plan and deliver client events, seminars, sponsorship activations and internal events in Melbourne to ensure high standards and excellent client experiences.
  • Collaborate with partners, lawyers and the national business development team to design and implement events that support Gilbert + Tobin's strategic objectives.
  • Manage event logistics including venue selection, supplier coordination, catering, invitations, registrations and on-the-day delivery.
  • Work closely with colleagues in Sydney and Perth to ensure a consistent national approach to event strategy and delivery.
  • Review event outcomes and provide reporting to help shape future planning.
  • Maintain accurate records of event spend, ensuring activities are delivered within budget and aligned with resource allocations.
  • Support the senior events coordinator and the wider business development team on firm-wide initiatives and campaigns.
  • Contribute to a culture of continuous improvement by sharing best practice and new ideas across the national team.
About You:

You will be an experienced event professional with skills in delivering corporate or professional services events. You will have excellent organisational skills, attention to detail and the ability to manage multiple priorities in a dynamic environment.

Key attributes and experience include:

  • Previous experience in event management, ideally within a corporate, professional services or similar environment.
  • Strong relationship management skills with the ability to build effective connections with partners, lawyers and external suppliers.
  • Excellent organisational and project management skills, with demonstrated ability to manage end-to-end event delivery.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and event platforms, including online invitations and virtual event technology.
  • A collaborative mindset with the ability to work effectively as part of a national team.
  • Flexibility, initiative and a practical approach to challenges.
