Job Title: Senior Administrative Support Specialist

The organisation is seeking a highly skilled and proactive Senior Administrative Support Specialist to provide exceptional support to the CEO.

This is an outstanding opportunity for an experienced administrative professional to join a progressive membership-based organisation in Melbourne's inner east.

Responsibilities:
  • Ensure the CEO is fully prepared and briefed ahead of daily and weekly internal and external meetings/conferences by coordinating agendas, minutes, venues, facilities, and catering.
  • Provide end-to-end meeting coordination, including ensuring all necessary documentation and materials are prepared and distributed on time.
  • Manage the CEO's diary and schedule across multiple priorities, ensuring seamless communication and collaboration with stakeholders.
  • Coordinate and manage meeting packs and documentation, including preparing and distributing agendas, minutes, and other relevant materials.
  • Arrange domestic and international travel arrangements, including booking flights, hotels, and transportation, and ensuring all necessary documentation and requirements are met.
  • Monitor deadlines and ensure the CEO is across all key commitments, providing timely reminders and updates as required.
  • Support the CEO's direct reports and act as a point of contact for wider teams, providing administrative assistance and advice as needed.
  • Attend meetings, capture actions/decisions, and ensure follow-up, maintaining accurate records and tracking progress.
  • Coordinated critical leadership meetings, driving engagement initiatives, and proactively identifying areas where additional support is needed.
  • Act as a culture champion, contributing to a positive and collaborative workplace by promoting a people-first approach, valuing kindness, collaboration, and strong working relationships.
