The job involves executive support, document management, time management, and office operational assistance. As an Executive Support Specialist, you will be responsible for managing the Managing Director's diary and email communications efficiently and professionally.
Liaising with internal and external stakeholders on behalf of the Managing Director is also a key aspect of this role. You will receive dictation from the Managing Director and accurately transcribe into various documents. Additionally, you will be required to possess strong typing skills to ensure documents, valuations, and reports are prepared efficiently and accurately.
Key responsibilities include:
- Executive Support:
- Manage the Managing Director's diary and email communications promptly and efficiently.
- Liaise with internal and external stakeholders on behalf of the Managing Director, ensuring strong and professional written and verbal communication.
- Receive dictation from the Managing Director and accurately transcribe into various documents.
- Possess strong typing skills to ensure documents, valuations, and reports are efficiently and accurately prepared.
- Document Management and Formatting:
- Prepare, proofread, and format reports, valuations, and other professional documents as required.
- Ensure reports and other documents meet formatting standards and are visually appealing, with an eye for detail and design.

- Office/Operational Support:
- Answering telephone calls and screening them appropriately.
- Preparing meeting rooms, agendas, and coordinating events.

The ideal candidate should have experience in an EA role, senior administration, or operational support. Strong organizational skills, discretion, and professionalism are essential. Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint, is necessary. Additionally, graphic design skills and the ability to handle confidential information are desired.
